Zoom is a Cloud-based application for online meeting and conferencing, it supports online communication between various types of devices such as Windows, Mac, iOS and Android etc. Up to 300 participants can join an online meeting without time limit. All staff, full-time and part-time teachers, and students can use their HKU SPACE computer accounts to log into Zoom and host or join an online meeting.

The use of this Cloud application is governed by the School’s Data Privacy Policy, Computer Account Policy, and the University’s Guidelines for Using External Web 2.0 Services for University Purposes.

All Zoom recordings created on the cloud from 1 Sep 2022 will be retained for 180 days only. If you wish to keep your recordings, please note that Zoom recordings saved locally to your computer are not affected by this policy.

Sign into Zoom

For staff and full-time teachers, select Staff Sign In and use your Staff User ID and password to sign in. 

For part-time teachers, select Teacher Sign In and use your Teacher No. and password to sign in.

For students, select Student Sign In and use your Student No. and password to sign in.

Please ensure that you are using a newest version of Zoom Desktop Client program or Mobile App so that you will get the latest software updates and security patches released by Zoom. Click here to check it out.

Upcoming Email Address Domain Change

I am reaching out to inform you that over the next few months we will be migrating our email addresses from @zoom .us to @zoom .com. You may receive emails from both domains, and I want to assure you that emails from these two domains are legitimate. To ensure there are no issues in communications and that you continue to receive emails from the Zoom Team, I recommend that you: 

 

  • Update your contacts with my new zoom.com email address to prevent them from being sent to your spam folder.

  • Ensure that your systems include ‘zoom.com’ on your allow list where applicable (e.g., email filtering and spam systems).

  • In the coming months, you’ll also notice our website and other collateral change to zoom.com.

Urgent Secutiry Update

We identified a vulnerability in Zoom Desktop Clients 5.15.0 (Windows/macOS), 5.15.1 (Windows), and certain other products (i.e., iOS, Android, Linux, Zoom Rooms, SDK) - primarily versions 5.15.0. Users on these versions will be prompted to update before they can join meetings and these versions will no longer be available for download. If users do not have the permission to update versions themselves you will need to deploy a supported version to them.

We have identified that your account has users on these versions, and you may view detailed information about those users in your Zoom Dashboard

Zoom meeting between Hong Kong and Mainland China is normal

Zoom reported that users in Mainland China should be able to join meetings initiated in Hong Kong with the Zoom (China) client software. If colleagues still encountered the problem, please check the region allow/block option of your Zoom settings.

Zoom meeting between Hong Kong and Mainland China is unstable or temporarily disconnected

ITSU received user reports that Zoom users in Mainland China couldn't join the Zoom meeting hosted in Hong Kong. ITSU has reported the problem to Zoom, and we shall update colleagues if there are any updates from Zoom. Colleagues could use other online meeting systems such as Adobe Connect (through SOUL2) or Microsoft Teams

(https://msteams.hkuspace.hku.hk/) to host their meetings.

Zoom Cloud Recording Retention

Since the pandemic, Zoom​ has supported the School in online teaching, learning, and meeting. However, recordings of these online activities stored in Zoom have nearly reached our cloud storage limit. Therefore, a storage retention policy for keeping recordings in Zoom is required.

 

Starting 1st Sep 2022, Zoom cloud recordings older than 180 days will automatically be deleted and sent to a trash folder. This action will be on a rolling basis and recordings will be removed after they pass the 180-day mark. If you wish to keep your recordings, instructions are provided below. Please note that Zoom recordings saved locally to your computer are not affected by this policy.

Interested in keeping your recordings?

  • The deleted recordings will reside in Zoom Trash for 30 additional days for recovery before permanent deletion. Once permanently deleted from the trash, a recording cannot be recovered.

    You will receive an email notification from Zoom 7 days before the recording is permanently deleted.
     

  • If you would like to keep your recordings on other storage, sign in Zoom from https://zoom.hkuspace.hku.hk, click on the Recordings tab on the left and then download your preferred recordings. 

    Friendly reminder: Music files, personal images or video clips are not to be stored on the Shared Disk Drives.

Beware of ZoomBombing: Screensharing Filth Attack

In view of the recent cyberattack of “ZoomBombing – Screensharing Filth” during meeting, Zoom has released an update patch for all its users. Please follow the instructions for the update when you are prompted during the Zoom session. If you still have concerns on the privacy and security, you may enable additional protections such as host meeting with password, only allow authentication users to join the meeting or keep monitoring with participants during the meeting. Further to the announcement of Zoom Cloud Online Meeting Service on 31-Jan-2020, ITS has got the blessing from the School Management of a complete launch of full licenced services to all staff, FT/PT teachers and FT students.  A self-help web page has been launched at http://zoom.hkuspace.hku.hk in facilitate users in using the services.

Dear colleagues,

For using the Zoom software, you can use your School's computer account such as userid@hkuspace.hku.hk to log onto the Zoom Cloud Service for HKU SPACE at https://zoom.hkuspace.hku.hk/. A Basic Plan is automatically assigned for all users, which allows you to conduct a two-participants and within 40 minutes meeting. To conduct a group meeting with longer time, you need a Pro license to do so​. By sending ITSU a request via the ITS Support system, we will upgrade your account to a Pro license account so that you can organize an unlimited time group meeting. The My Zoom short cut link listed on top of the Staff Intranet is an easy way to access your Zoom Cloud account.
